FAQs, FREQUENTLY ASKED QUESTIONS:

• PDF vs Original Hard Copy, which is better? They are 100% the same and the finished product is 100% the same. The printed, mailed copy no longer has ink signatures, which is why the apostille is so important. If you submit the PDF, we will print and submit pursuant to government rules and regulations, and the apostille (signed/sealed) will be permanently attached to the printed background check.
• Should I notarize my background check? No, absolutely not. Notarized background checks will be rejected and returned. The website for the authentications office mentions notarization, but it is referring to state-level documents such as powers of attorney, etc. Documents issued by the federal government should not be notarized as the federal agent’s signature (Chris Ormerod) is what needs to be authenticated and validated, not that of the notary.
• Is there any way expedite the apostille process further? Yes, if you have a documented life or death emergency, you can petition for in-person same day service in DC; however, your appointment will need to be approved in advance by the Federal Office of Authentications, and if approved, you will need to travel to DC. Otherwise, our drop off and pick up service is as fast as it gets. Our goal is to get your background check to DC as quickly as possible; nonetheless, the government is required by federal law to process in order. Our system is designed to obtain your apostille as quickly as possible, and we do everything possible to make that happen.
• Do I need to select a shipping option at checkout? If you need the original, hard-copy apostille, yes. We always scan/email the apostilled background check; however, only a few countries will accept a digital, scanned version. If you need the original shipped to you, that is, more than just the scanned/PDF, please select a shipping option at checkout.

Our small team is based in the United States and we are not Spanish Citizens; however, we have partnered with a few sworn Spanish translators in order to help provide the necessary translation certification when submitting documentation to the government of Spain (in Spain) or to the Consulate of Spain in Los Angeles or San Francisco (or any Spanish consulate worldwide). If submitting to the other Spanish consulates (Houston, Chicago, Miami, Boston, New York or Washington DC), our standard translation service will be accepted, in most cases.  Additionally, if you’d like to search for a sworn translator on your own, will be glad to provide the Spanish Ministry of Foreign Affairs’ global list of sworn translators.

Note: BLS, the agency handling a lot of new applications for Spain is asking for sworn translations at various consulates. Please review your documentation to see if you need US based certified translation or sworn translation, completed in Spain and certified by the Spanish Ministry of Foreign Affairs. If your Spanish visa application says “obtain a certified or sworn translation,” you can select either option.

FAQs regarding English to Spanish sworn translation services:

• What is a sworn Spanish translator? A Spanish sworn translator is someone who is certified or sworn in by the Ministry of Foreign Affairs in Spain. A US based, certified translator is NOT a sworn translator. In Spanish, sworn translators are called “traductores jurados” or in the singular form, a”traductor jurado”, sworn translation is: “traducción jurada.” The Spanish government publishes a list of sworn translators online — we have two translators on the official list.
• How does one become a sworn translator? A sworn translator must pass a series of government-issued translation exams in Spain. Additionally, and most importantly, Spain requires that sworn translators have an office or residence in Spain, have a degree in translation from a Spanish college or university and be a citizen of Spain. For this reason, it is difficult to find a sworn Spanish translator certified by the government of Spain in the US.
• Do I need the original printed, signed document of my sworn translation? No, not at all. Sworn translators sign all documents digitally, and since they are mostly located in Spain, the document is submitted by email. We have completed and submitted sworn translations digitally for over ten years to all Spanish consulates and within Spain, no issues whatsoever.
• Is sworn Spanish translation valid for the NALCAP visa? Yes, 100%, no issues.

We are able to obtain an apostille for a US passport from only a copy, scan, image or notarized copy. It takes about seven to twelve days (5 to 10 calendar days, total days) plus shipping time, and the Hague Apostille is completed in the state of TN. In the past, we apostilled copies at the federal level in Washington DC; however, this service is no longer offered by the federal authentication’s office. Now, we sign and notarize an affidavit stating that the copy is a true, authentic copy of the passport, and from that point, we then apostille it at the state level in New York, which is one of the fastest states for apostilles. Since 2012, we have not had any issues with this particular process, and we work routinely with many attorneys and government agencies in Europe, South America and Asia. Our state level apostille process for passports is valid worldwide. Our most common request are for Portugal, Spain, France, Italy, Austria, Germany, South Korea, Croatia, Colombia, the Dominican Republic and a variety of other countries.

SUBMISSION: You will need to send a copy of your passport in one of two ways:

1. EMAIL/UPLOAD: At checkout, you can email your document as a PDF, a picture/image, or another form (only the information page with your picture is required).
2. MAIL/SHIP TO US: Sending originals here is rarely needed; however, if sending an original copy is preferred or requested by your attorney, you are able to send copies to our office, not the original passport. Our direct mailing address will be provided after completing the checkout process on our site, usually within an hour or two.

DOMESTIC, US SHIPPING: We never overcharge for shipping; we only charge what our carriers charge us, which is as follows:

• $7 for USPS 1st Class Mail, 4-7 Days
• $16 for FedEx 2 Day Shipping, 2 Days
• $39 for FedEx Overnight Shipping, 1 Day

INTERNATIONAL SHIPPING: We are glad to ship your apostilled background check to most countries worldwide via FedEx or DHL. International shipping will be added when the shipping address entered is outside of the United States. Paying $59 for international shipping at checkout is a deposit only; if the actual rate is less, we will refund the balance, if more, we will send an invoice before shipping. Rates will be calculated and confirmed a few days or so before your apostille arrives to our office. Most large cities worldwide cost around $59 for FedEx.
